2. Data we process and purposes
A. Website browsing
When a user browses the website, technical data necessary to operate and secure the service may be processed (for example, information related to the connection and to the operation of the website). The use of cookies and similar technologies is governed by the Cookie policy, which explains which categories are used and how to manage them.
B. Contact by email, telephone or WhatsApp
If the user voluntarily contacts OLIRA by email, telephone or WhatsApp, the data they provide (such as name, contact details and the content of their message) is processed in order to answer the enquiry, provide the requested information and manage the professional relationship arising from that contact.
C. OLIRA Analysis service
The website links to the OLIRA Analysis online service (https://analysis.olira.es/ and https://analysis.olira.es/en/). When the user uses this service, the information they submit about their event is processed in order to generate the requested technical analysis.
Any subsequent commercial contact is optional and is subject to the following conditions:
- It only takes place when the user expressly authorises it.
- The user can withdraw that authorisation at any time.
- The analysis works normally even if the user does not authorise commercial contact.
D. Meeting bookings
Meetings are initially managed through the Google Calendar appointment scheduling system. When booking a meeting, the data provided is processed in order to organise and confirm the appointment. The person currently shown as the visible organiser of the meetings is Alicia, acting on behalf of OLIRA / CONGRESSRENTAL, S.L. in the performance of her duties; responsibility for the processing lies with CONGRESSRENTAL, S.L.
3. Legal bases
The processing of data is based, depending on the case, on:
- The user's consent, where they submit information voluntarily or expressly authorise commercial contact.
- Pre-contractual steps or the performance of the requested services, where the user requests an OLIRA service.
- Legitimate interest, only where necessary to ensure security, prevent fraud, maintain service continuity or respond to operational requests.
4. Data retention
- Enquiries and contacts: retained for the time necessary to respond to the request and manage the resulting relationship.
- OLIRA Analysis data: retained only as necessary to provide the service, maintain security and meet applicable legal obligations.
- Commercial-contact authorisation: retained while the consent remains valid or until its withdrawal, without prejudice to legal retention periods.
- Meeting bookings: retained in accordance with the management of the service and applicable legal obligations.
5. Recipients and service providers. International transfers
OLIRA does not sell users' personal data. In order to provide its services, operate its systems or manage meetings, data may be processed by service providers acting on behalf of OLIRA when necessary. The providers relevant to the current architecture are:
- Vercel: website hosting and delivery.
- Google Workspace / Google Calendar: email and meeting-booking management.
- Railway: infrastructure and database for the OLIRA Analysis service.
- OpenAI: generation of the requested technical analyses.
- Resend: authorised internal notifications related to commercial-consent follow-up.
- WhatsApp: only when the user voluntarily chooses to contact OLIRA through that channel.
Some of these providers may process data outside the European Economic Area. In such cases, those transfers are carried out subject to the safeguards provided for in data protection law. The user can consult information about transfers in the privacy policies of the respective providers.
6. User rights
The user may exercise the rights of access, rectification, erasure, objection, restriction of processing and portability, and may withdraw any consent given at any time, without affecting the lawfulness of processing prior to its withdrawal.
To exercise these rights, the user may send a request to hola@olira.es, indicating the right they wish to exercise.
The user also has the right to lodge a complaint with the competent supervisory authority, the Spanish Data Protection Authority (Agencia Española de Protección de Datos, AEPD), whose information is available at www.aepd.es.
7. Security measures
CONGRESSRENTAL, S.L. adopts reasonable technical and organisational measures to protect personal data against unauthorised access, alteration, loss or processing, taking into account the state of the art and the nature of the data processed.
